How We Help...

Hospitality & Leisure

One provider for the tills, the wifi and everything in between, instead of seven numbers and nobody taking responsibility.

Hospitality has the most fragmented supplier list of any sector we work in. The EPOS company, the booking platform, the card provider, the broadband supplier, the guest wifi, the CCTV firm, the phone line and the music system are usually seven different contracts with seven different support numbers. When something stops working mid service, each one can point at another, and your guests are the ones waiting. This page is about ending that, and about building a venue that doesn’t fail during service in the first place.

The Problem

Nobody owns the whole thing. Each supplier is responsible for their bit and nobody is responsible for it working together. The wifi company blames the tills, the till company blames the network, and you’re the one standing in the middle of a full restaurant trying to referee it with a phone to your ear.

Your guest wifi is probably on the same network as your tills. This is extremely common and it shouldn’t be. Card payment systems are supposed to be separated from the network you hand out to the public, and in a lot of venues they simply aren’t, because the two were installed years apart by different people.

Things get plugged into your network that nobody checks. IP cameras, door entry, signage, music, EV chargers. Often installed by a specialist, often left on default passwords, often with remote access open to the internet. Cheap cameras in particular are a well known way in, and your CCTV footage is personal data in its own right.

And your busiest hours sit outside everybody’s office hours. Friday and Saturday evening, bank holidays, Christmas. Which means the work has to go into making those hours uneventful, because that’s the only reliable way to protect them.

You Need One Point of Contact Who Owns It All

You’ve got enough to deal with during service. The technology should be somebody else’s problem, and it should be one somebody.

Why this is a concern:

Every minute the tills are down during service is revenue you don’t recover, plus a queue, plus staff under pressure, plus the chance it ends up in a review. And the delay is rarely the fix itself. It’s the half hour spent working out whose problem it is.

The security side is quieter but more serious. A flat network where guest wifi, cameras and payment systems all sit together means one weak device can expose the lot. Your card provider has expectations about that, and so would your insurer.

Why it's important:

Both problems have the same answer: one provider who knows the whole environment, has a diagram of it, and does the preventative work during the week so your weekends are quiet. From there the technical fixes are straightforward. Separate the networks properly, get the unmanaged devices under control, and keep an eye on things before a Saturday rather than after one.

Solutions

These are some of the things we do for hospitality and leisure businesses

One Provider, One Number

EPOS, booking systems, wifi, networks, phones, CCTV and the lot in between. We take ownership of the environment and deal with your other suppliers on your behalf rather than handing you their number. Phones and connectivity sit in the same group, so that’s one relationship rather than three.

Guest Wifi Done Properly

Separated from your payment and back office systems, built for a venue full of phones rather than an office of laptops, and capable of handling a busy Saturday without falling over.

Everything on the Network Accounted For

Cameras, signage, door entry and anything else somebody plugged in. Identified, secured, passwords changed, and isolated where they should be.

Not sure what’s connected to what?

Two minutes, a handful of questions, and a straight view of where the weak points are. Most venues are surprised by at least one answer.

We’re honest about this: we work Monday to Friday, nine to five, unless a customer specifically asks us to do otherwise. So for a venue, our job is to make Saturday night uneventful rather than to promise we’ll answer the phone during it. Separate the networks properly, get the unmanaged kit under control, keep an eye on it through the week, and most of what goes wrong at eight on a Saturday never happens in the first place.

Adam Gillett, Head Of Business Partnerships - We Do Your IT Support

Our recommendation for a hospitality or leisure business

For most venues, it’s the Essential IT Support Service

Essential covers what a venue actually needs: unlimited support, device security across the office and back of house, complete cloud and email security, real Microsoft 365 backup, and your Microsoft 365 Business Premium licence. Most of your trading systems are already cloud based and supported by their vendors, so the job is keeping everything around them working and secure rather than duplicating what you already pay for.

For a group running several sites, or anywhere with a more complex card payment setup, we’d look at Professional. The strongest security stack we offer plus Cyber Essentials, which is worth having when you have multiple venues, more staff turnover and more devices to account for.

The network and wifi side is usually a separate piece of work regardless of package, because that’s where the specific hospitality problems live. If you want cover outside office hours, that’s a separate conversation too, and we’d rather have it properly than tack it on.

The Basics

What every venue should have in place.

Guest wifi genuinely separate from everything else.

Not a different password on the same network. Properly separated, so a guest’s laptop cannot reach your tills, your office or your cameras.

A list of everything connected to your network.

Including the things a different contractor installed. You cannot secure what nobody has written down.

Default passwords changed on every device.

Cameras especially. This is free, it takes an afternoon, and it closes the most commonly exploited door in a venue.

Individual logins where it matters.

Till staff sharing one code is normal and workable. Managers and anyone touching refunds, voids or the office should have their own, because that’s your only protection against internal loss.

A tested restore with a known recovery time.

Hospitality turns over staff faster than any sector we work in. Access should end when employment does.

Backup of the things nobody thinks about.

Your bookings, your rotas, your supplier records and your office files. The till vendor backs up the till. Nobody is backing up the rest unless you’ve asked.

How we’d get you set up

This is the part that stops most people, and it’s usually smaller than imagined.

01

We come and look at the venue.

Not a phone call. What’s installed, what’s connected, how the wifi is set up, where the tills sit and who supports what. About an hour, no obligation, findings in writing.

02

We separate the networks and secure the devices.

Usually the first and most valuable job, and it’s done outside service.

03

We take over the supplier wrangling.

You get one number. We deal with the EPOS company, the broadband provider and whoever else, so you don’t have to work out whose problem it is.

04

Then it's ongoing.

Unlimited support Monday to Friday, 9am to 5pm, monitoring and patching through the week, and preventative work scheduled around your trading rather than ours.

Questions venues ask us

We’ve compiled the questions we’re asked most often by businesses at this stage. If yours isn’t here, please get in touch.

Straight answer: our standard support is Monday to Friday, 9am to 5pm, so unless you’ve arranged out of hours cover with us separately, nobody is picking up at eight on a Saturday. We’d rather tell you that now than have you find out then.

What we do instead is put the work into the things that cause weekend failures, and do it during the week. Separated networks, monitored kit, patched systems, and known weak points dealt with before they matter. If your venue genuinely needs out of hours cover on top of that, we can arrange it, and we’ll give you an honest view of whether it’s worth the money for your setup.

We support everything they depend on, and we deal with their support teams on your behalf. The vendor still owns their software, but you shouldn’t be the one in the middle translating between two suppliers while a queue builds. It’s also worth checking what hours your EPOS vendor covers, because for weekend trading that matters as much as ours does.

It depends how it was set up, and the honest answer is that in most venues we look at, yes. Guest wifi sharing a network with payment and back office systems is both a security risk and at odds with what your card provider expects. It’s usually a straightforward fix.

Often nobody, after the install. Cameras sit on your network, frequently with default credentials and sometimes reachable from the internet. We’d identify what’s there, secure it, and put it where it belongs on the network. Footage is personal data too, so retention is worth a thought.

Yes, and it’s usually where the biggest gains are. Consistent setup across venues means faster fixes, easier staff moves between sites, and one view of what you’re paying for.

It’s manageable with a proper process, which is what most venues lack rather than need explaining. Accounts created and closed as part of the normal rhythm rather than remembered.

Yes. Phones and connectivity sit alongside IT in the group, which for hospitality is usually the whole point, because it means one supplier for the things that fail together.

We don’t work to fixed SLA response times. Within our working hours we work on priority, so a venue that can’t take payment is dealt with ahead of something trivial rather than waiting its turn in a contractual queue.

No. You can take any package on a rolling monthly term. Longer terms carry a discount, and the current rates are on each package page, but that’s your choice, not a condition.

Ready when you are

We look after pubs, restaurants, hotels, gyms and venues across Bristol, Bath, Cheltenham, Gloucester, Somerset and Swindon, with remote support anywhere in the UK. We’re an NCSC Assured Service Provider, Cyber Essentials Plus certified, and ISO 9001 and ISO 27001 accredited.

Start with a visit. An hour walking round the venue tells us more than any questionnaire, and you’ll get an honest picture of what’s connected, what’s exposed and what would actually happen on a bad Saturday.

Reassuring Availability

There is nothing more annoying than an IT glitch that stops you working efficiently. However, knowing you have access to immediate attention to the glitch and a solution to it, is very reassuring and that is provided by We Do Your IT. We have so appreciated the availability and response given by the team at We Do Your IT, enabling us to remain a productive firm.
